Dr. Claudia Moreno's practice respects your privacy and is committed to protecting the personal data you share with us. This policy describes what information we collect, how we use it, and what your rights are.
2. Data we collect
We collect information you voluntarily share by completing forms (name, email, phone, treatment preferences, messages) and when booking appointments. We also collect navigation data automatically: IP address, device type, browser, pages visited, time on site, traffic source, and interaction events (clicks, scroll, form starts).
3. Purpose of processing
We use your data to: (a) schedule and manage your appointments; (b) respond to your inquiries; (c) personalize your site experience; (d) send communications you have authorized; (e) measure the effectiveness of our communication and advertising; (f) comply with legal and tax obligations.
4. Cookies and tracking technologies
We use cookies and similar technologies to measure audience and improve experience. Active tools: Google Analytics 4 (usage measurement), Google Tag Manager (tag management), Google Ads (campaign measurement including Enhanced Conversions), and possibly Meta Pixel. We also capture attribution parameters such as gclid, fbclid, and utm_* in cookies with a 30-day lifespan to understand which source brought each visitor.
5. Sharing with third parties
We share limited data with: Google LLC (Analytics, Ads, Signals) to measure and optimize advertising; Meta Platforms (when applicable) for the same purpose; our internal CRM Odoo, hosted on AA High Tech private infrastructure, to manage appointments and communications. We do NOT sell or rent your data to third parties.
6. Enhanced Conversions and hashed data
When you complete a form or book an appointment, we send hashed (SHA-256, irreversible) versions of your email and phone to Google Ads. This is called Enhanced Conversions and allows Google to attribute conversions to ads without exposing your data in clear text. The process is privacy-safe and compliant with Google Ads Data Processing Terms.
7. Data retention
Clinical and appointment data are kept for the legal retention period applicable to medical records. Marketing and analytics data are kept for up to 14 months (Google Analytics 4 setting) or until you exercise your right to object.
8. Your rights
You have the right to: access your data, correct it, request deletion, object to processing, restrict use, portability, and withdraw consent. To exercise these rights contact us via WhatsApp or the site form. We will respond within a reasonable time as per applicable law.
9. Cookie consent
For visitors from the European Union, United Kingdom, and Switzerland we display a consent banner compliant with Google Consent Mode v2: marketing and analytics cookies remain blocked until you accept. For visitors from the rest of the world, cookies activate by default under legitimate interest, in accordance with local regulation. You can revoke consent at any time by contacting us.
10. Security
We apply technical and organizational measures to protect your data: TLS/HTTPS connection across the entire site, SHA-256 hashing of identifiers before sending to advertising platforms, restricted CRM access, and regular security reviews.
11. Minors
Our services are intended for people 18 years of age or older. For minors, we require authorization from the parent or legal guardian before collecting any personal data or starting any treatment.
12. Changes to this policy
We may update this policy. If changes are substantial, we will notify on the site at least 30 days in advance. The last update date appears at the beginning of the document.
